The Rover INK™ Workflow Server

The Rover INK Workflow Server is the central hub for mobile data communication within a company. Forms data from field, office or remote staff flow through the Server and are distributed to other employees, supervisors, managers and critical back end office systems. Data is stored in a database, Rover INK’s Workflow Cabinet, which allows designated staff or management to access and easily retrieve electronic copies of completed forms or import the data from these forms to metric and management software solutions.

How it Works

The Rover INK Workflow Server has four types of users:

• End users: Users that input information into forms
• Verifiers: staff that verify the information completed on forms
• Managers or Supervisors: Individuals responsible for signing off on paperwork as it flows through the organization
• Administrators: IT staff that manage access and preferences of the Rover INK Workflow Server

End users complete forms using a digital pen, tablet or other intelligent device. Completed forms are then transferred to the Rover INK Workflow Server. The server then distributes these forms to either a pre-defined manager or supervisor for further validation or verification (i.e. a sign off). Once form data has been verified, the form information is parsed off for export to back-office system and stored in the Workflow Cabinet. The Workflow Cabinet is a database that stores all completed forms in various formats including:

• The Original file. This is an exact copy of the form as written by the user.
• Verified Form. This is form after it has been verified.
• PDF.  For ease of distribution the verified form is available in PDF format.
• XML. Standard XML output is available for integration into other software and back-office systems.
• CSV. This is the standard import method for Excel and many other database programs.
• Attachments. The Rover INK Workflow Server allows you to upload any attachment to a specific form. Attachments are often a photo, Word document or anything that links to the original document.
  

New Features in Version 2.0

Workflow Server v2.0 provides a new design interface, greater support for administrators, multiple image and export formats, a new search engine and a new workflow system that allows forms to be distributed through various approval points. The focus of v2 upgrades is to provide out-of-the-box functionality to customers to easily export and integrate the system into their existing network infrastructure.

Design Interface:
A redesigned interface is more intuitive for both users and administrators. The new layout includes a customizable template to assign a corporate identity.

Greater Administrator Support:
Users are given roles based on the work type (i.e. Verifiers, Pen users, etc).  User roles determine the access permissible based on the information they need. Pen users are able to dock pens but cannot access the Workflow Cabinet. Users can have multiple role types.

Search Engine: 
Improved to allow for faster and more accurate search of completed forms.

Workflow enhancements:
A new workflow engine allows form data to be routed to different departments or specific verifiers based on the form type or technician filling out the paperwork. In addition, form data can be routed to managers for further validation and sign off procedures.
